QR check-in and the waiver
QR check-in lets parents do the typing. They scan a QR code at your desk, fill in the check-in form on their own phone, and show you a 3-digit code. Your staff still admit every child.
QR check-in is part of the Growth plan. Your free first month runs on Growth, so you can try it.
Set it up
- The owner prints the QR code from Settings: tap Print your check-in QR. The code never changes, so you print it once. Put it where families wait.
- To show the QR on a screen instead, tap Check-in QR in the side menu.
What the parent does
- Scan the QR code with the phone camera. The check-in form opens. There is no app to install.
- Fill in their name, mobile number and each child's name. More than one child? Tap + Add another child.
- Pick how long they want to play. The form shows your prices for today, per child. They pay at the desk.
- Where your center has them: grip socks and other extras, each child's date of birth, and a note for the desk, such as an allergy.
- Tap Get my check-in code. The phone shows a 3-digit code and their place in the line.
- The code is valid for 15 minutes. If it runs out, the parent taps Get a new code. Their details stay, and they keep their place in the line.
- The phone remembers the family. Next time, on the same phone, the form opens with their details filled in.
- No phone, or no signal? The family checks in at the desk as usual.
What the desk sees
Waiting check-ins show at the top of the floor, oldest first. Each one has:
- the 3-digit code, how long the family has waited, and how long the code has left;
- New for a first visit, or Returning for a family you know;
- the children's names, the parent's name and what they picked;
- the parent's note, if they wrote one;
- Waiver and No photos tags, if your center asks for the waiver on the form (see below).
To admit the family:
- Ask the parent for the code on their phone.
- Tap Admit on the card with the same code. The admit sheet opens with their details filled in.
- Check the names. Add socks or take payment as usual.
- Tap Admit. The timer starts now, not when the parent scanned.
A code that ran out shows as Code lapsed. Ask the parent to tap Get a new code, or tap Dismiss to clear it.
After admit: the parent's live page
Once you admit, the parent's phone opens a live page with each child's time left. The welcome WhatsApp message carries the same link, so families you admit at the desk can have it too (see WhatsApp messages to parents). From the live page, a parent can:
- tap Add time. By default the request waits for the desk. It shows at the top of your floor: tap Add to put it on the bill at your price, or Decline;
- tap Checkout. You see that the parent is coming: get the children ready and tap Open bill;
- tap I'm stepping out of the venue. You see it with a Call parent button;
- tap Pause, if your center pauses timers. Nothing pauses until the desk taps Pause too.
Lost the link? On the check-in page, the parent taps Already checked in? See your children's time and types their mobile number and one token number.
The waiver
The waiver is your own text. A new center starts with short play rules and a waiver in the center's name, and the owner can ask us to add the center's own rules. Parents sign it on their phone from your waiver link, before they come or while they wait:
- Find the link under Waivers in the side menu. Tap Share on WhatsApp, Copy link or Show QR.
- The parent types their name, mobile number and the children's names, ticks the box to agree, and chooses yes or no for photos and videos. Then they tap Sign the waiver.
- At the desk, type the parent's number in the admit sheet. If they signed today or yesterday, the sheet shows Waiver ✓ signed on the waiver link, with their photo choice.
The Waivers page also lists everyone who has signed. On its own, the waiver link never stops you admitting a family who has not signed it.
Some centers ask for the waiver on the check-in form itself, at every visit. Then the parent ticks it just before Get my check-in code, and the desk sees the Waiver tag on their card. A child whose parent said no to photos shows a No photos tag.
What QR check-in does not do
- It does not take payment. Parents pay at the desk, the way they always do.
- It does not start the timer. The desk does, at admit.
- It does not admit anyone by itself. Your staff match the code and tap Admit.
- It does not book a time in advance. It is for families who are already at your center.
More help
- Timers: from admit to time-up — Admit a child, read the live timer, see who is ending soon, hear the time-up chime and add more time.
- WhatsApp messages to parents — Welcome, ending soon, time-up and receipt messages, sent from your own WhatsApp number. What it does not do.
